This policy explains how we handle your personal data when you send us your details and resume. We've written it in plain language. If anything is unclear, email us at hari@habsolutions.cloud.

1. Who we are

The candidate resume service is run by Hab Business Solutions (habsolutions.cloud) together with MinMaxHR, its HR KPI Optimization Platform. Hab Business Solutions decides why and how your data is used and is responsible for it (the "Data Fiduciary" under India's Digital Personal Data Protection Act, 2023, and the "controller" under the GDPR where it applies). In this policy, "we" and "us" mean Hab Business Solutions and MinMaxHR.

2. What we collect

Contact details: full name, email address, mobile number and country code.
Job preferences: role you want, preferred cities, work style, years of experience, current and expected yearly pay, notice period.
Your resume: the file you upload, its original file name, size and type, and everything written in it.
Records: the exact date and time of your submission, a reference number, the policy version you agreed to, and the choices you ticked.
Technical data: basic security logs (such as IP address and browser type) kept briefly to protect the service from abuse.

Please don't include sensitive details that hiring doesn't need, such as government ID numbers, bank details, health information, religion, caste or photographs of documents. If your resume contains them, you are choosing to share them.

3. Why we use it, and on what basis

To share your profile with partner companies that have roles matching your preferences, and to contact you about those roles. Basis: your consent.
To rank and organise profiles using our CandidRanker tool so hiring teams can review them efficiently. Basis: your consent.
To send optional reminders every 5 months to update your resume, only if you opted in. Basis: your consent.
To keep the service safe, prevent spam and fraud, and keep records of consent. Basis: legitimate use and legal obligations.

Final hiring decisions are always made by people at the hiring company, not by software alone.

4. Who we share it with

Partner companies hiring for roles that fit your preferences. Each receives your profile for recruitment only and must handle it under its own data protection obligations.
Our invited team members, who need access to match profiles to roles.
Service providers who host and process data for us (cloud hosting, database and our CandidRanker system), under contracts that require them to protect it and use it only on our instructions.
Authorities, only when the law requires it.

We never sell your data, never rent it, and never publish your profile publicly.

5. Where it is stored

Your data is stored on secure cloud servers. Some providers may process it outside your country. Where that happens, we rely on safeguards required by applicable law and only use providers who meet recognised security standards.

6. How long we keep it

We keep your details and resume for up to 24 months from your most recent update or confirmation. After that, we delete them from our active systems. Reminder emails alone do not extend this period. Copies already shared with a partner company are governed by that company's own retention policy; on request, we will ask them to delete it.

7. Your rights

You can, at any time and free of charge:

ask what data we hold about you and get a copy;
correct or update it, or send a newer resume;
withdraw your consent and ask us to delete your data;
stop reminder emails using the link in any email;
nominate another person to exercise these rights if you are unable to;
complain to us, and if you're not satisfied, to the Data Protection Board of India or your local data protection authority.

Email hari@habsolutions.cloud from the address you used, ideally with your reference number. We'll confirm who you are and respond within 30 days. Withdrawing consent stops future sharing; it doesn't undo sharing that already happened.

8. Grievance contact

For any concern about your data, write to our Grievance Officer at hari@habsolutions.cloud. We acknowledge complaints within 72 hours and aim to resolve them within 30 days.

9. Security

Data is encrypted in transit and at rest, kept in access-controlled storage, and visible only to invited team members who sign in with verified accounts. Every submission is logged with a time stamp. No system is perfectly secure, but if a breach affects your data we will tell you and the relevant authority as the law requires.

10. Age

This service is for people aged 18 or older. We do not knowingly collect data from anyone younger. If you think a minor has sent us their details, contact us and we will delete them.

11. Cookies

The candidate pages don't use advertising or tracking cookies. We only use what is strictly needed to run the site securely. The team sign in area uses a session token so team members stay signed in.

12. Changes to this policy

If we make material changes, we will update the version and date above and, where the change affects how we use your data, ask for your consent again. Your submission is always tied to the version you agreed to.
